Private Party Terms & Conditions

Clay with Me Pottery Studio

By booking a private party or group event at Clay with Me Pottery Studio, the booking organizer and all participants agree to the following Terms & Conditions.

Booking & Payment

A private party booking is confirmed once the quote has been sent out and 50% deposit has been paid. A 50% deposit is required, with the remaining balance due the day before the event. The party will not start until the remaining deposit is paid. 

All bookings are subject to studio availability.

Private parties are reserved exclusively for your group, and studio time, staff, and resources are allocated specifically for your event. For this reason, we do not offer refunds or make-up events for cancellations, no-shows, or changes in attendance numbers.

If more than 48 hours’ notice is provided, the booking organizer will be offered a studio credit that may be applied toward a future private event or class.

Our workshops are standard set times, the first half hour is free if you go over in time, but anything more you pay to rent the space by the hour.

Studio credits:

Are non-refundable
Are non-transferable
Are valid for 12 months from the date of issue
Payment processed via custom payment link

We appreciate your understanding and support as a small business.

Studio-Initiated Cancellations

In the event that the studio must cancel a private party for any reason—including, but not limited to, natural disasters, severe weather, instructor illness, facility issues, or other unforeseen circumstances—you will be offered the option of receiving a full refund or retaining the amount as a studio credit.

Final Headcount & Attendance

Final guest numbers must be confirmed in advance during the quoting period. Once confirmed, pricing is based on the agreed headcount. Reductions in attendance do not qualify for refunds or credits.

Late Arrival & Event Timing

Private parties start and end at the scheduled time. Late arrivals may reduce your available workshop time, and missed time cannot be extended or refunded.

Minimum & Maximum Capacity

Each private party is subject to minimum and maximum participant limits based on studio capacity and the selected package. The studio reserves the right to adjust or decline bookings that exceed capacity.

Instructor Assignment

Instructors are subject to change without notice. All private events will be led by qualified Clay with Me instructors. For every 10 people, we require an additional Instructor. This will be included in the quote.

Pottery, Firing & Breakage Disclaimer

Working with clay and glazes is inherently unpredictable. While every effort is made to properly handle, fire, and glaze all pieces, Clay with Me Pottery Studio is not responsible for cracks, warping, glaze defects, or breakage that may occur during the firing process. By booking a private party, participants acknowledge and accept this risk.

Pick-Up Policy for Finished Work

Finished pottery pieces will be available for pickup their pottery 3 weeks following their event date. Notifications are not sent out, please mark your calendars! Due to limited storage space, unclaimed work may be donated 2 months later.

Health & Safety

By participating in a private party, all guests acknowledge the inherent risks associated with working with clay, tools, kilns, and studio equipment and agree to follow all studio safety guidelines and staff instructions.

Photography & Marketing

Clay with Me Pottery Studio may photograph or film private parties for marketing and promotional purposes. Please notify the studio in advance if you prefer your group not be included otherwise our studio has the right to share these images on our social media, website and other digital platforms for class promotional purposes.

Non-Transferability

Private party bookings and credits are non-transferable and may not be resold or shared.

Agreement

By confirming a private party booking, the booking organizer acknowledges they have read, understood, and agreed to these Terms & Conditions on behalf of all participants.
